Spreadsheets are good for testing a theory, they are very cost effective and they can be used almost immediately. They get overused and the temporary model they offer all too often becomes the default application for the business. Spreadsheets do run into problems where multiple users want to access and edit them simultaneously.

So, what might happen if you have multiple people accessing the same spreadsheet?

One of the main risks of having multiple versions of the same spreadsheets is unreliable data. With different versions of the same spreadsheet floating around the office, it cna be difficult to know which one is the correct one. These alterations made by multiple users, can result in missing or inaccurate information. It is difficult to share a spreadsheet among many team members, primarily due to that data being shared could be accidentally deleted or changed, the spreadsheet that is shared is not often ‘live’ or ‘real-time’.

Spreadsheets make it extremely easy to create errors, a simple mistake like misplacing a decimal point can result in huge errors, for instance accounting or customer orders. And, with many people opening it and editing it, it is hard to chase up who made the error and what the correct information is.

Now, we are not saying spreadsheets are the devil, I mean who doesn’t love a good spreadsheet? They are great for small businesses’ needs and budget. They are easy to use, easy to learn and very cost effective to setup.

However, like everything, they also come with downsides that could harm a business. Once a business starts to grow, it quickly becomes unfeasible to rely on spreadsheets. It is hard to get an accurate real time view of how the business is doing, which is an essential piece of information for your business to grow. They can also be tricky to pass on to other people.

So what is the answer?

Characteristics of a good MIS

Reliable: The aggregated information coming out of the MIS should be accurate and consistent. Poor quality information will generally lead to poor quality decisions.

Timely: Information must be delivered at the right time, to the right place and to the right person. Information that is passed on to early can become outdated and could be forgotten about by the time it is actually needed, which could lead to an inadequate decision.

Useful: The information  provided by the system may well be relevant and accuarate, but it will only be of use of it aids a specific decision. Most systems have the potential to allow the monitoring of additional KPIs as the needs arise.

Fundamentally, management information systems store information about customers, employees and vendors.They play a role in communication, problem identification and give managers the information they need to help the process of decision making. Ultimately, there goal is to increase efficiency and provide the business with a competetive advantage over those that do not have a proper system.

There are inevitably patterns in there, and by having that data aggregated in a useable manner, it would be possible to predict trends and to proactively counter: busy periods where it would be good to have some extra resources to deal with it. The traditional flat spots where other activities could be engaged in if the knowledge exists to make the prediction.

Do you have a competitive advantage over your competition? As your competitors won’t have the same software, your business could benefit from a competitive edge. By having a more effective software system, it could make your business a more viable proposition to a prospective client, the demonstrable improvement in performance improve and likely higher customer satisfaction levels, could put you ahead enough to seal the deal.

Could overall productivity be improved? Bespoke software will allow your staff to be more productive.   • Realtime Error Checking – the app can ensure the fields in the form have the type of data you want to see. If a number is expected, the app can ensure a number is entered. If your form requires an email address, the app can check that a valid email address format has been used.
